Sandburn Hall Hotel Booking Terms & Conditions

General:

  1. This Agreement binds you and all the members of your party.  It is your responsibility to ensure that each member of your party is aware of and accepts the whole of this Agreement and the obligations contained in it. It is effective from the date this agreement is made.
  2. This Agreement is made between us when your booking is confirmed.  You must note and comply with all guidance rules and other requirements supplied on notices, in any booklet or other literature supplied to you when booking or taking part in additional activities.
  3. This Agreement is governed by English law and we both agree to the non-exclusive jurisdiction of the English Courts.
  4. We have the right at our sole discretion to refuse any booking including a group booking and to obtain the name and age of all members of your party at any time.
  5. We have the right to cancel your booking without compensation or refund should you not comply with any of the provisions of this Agreement.
  6. We will not accept reservations and have the right to cancel your booking when the majority of members of your party are under the age of 18 years unless by prior arrangement.  Children must be accompanied by an adult at all times in the hotel rooms and reception areas.
  7. You may not advertise, use or re-sell your booking for profit or otherwise.
  8. If you or any member of your party has or has just had an infectious or contagious medical condition we have the right to refuse or accept your booking, cancel your stay or ask you or any member of your party to leave Sandburn Hall immediately should we at our sole discretion consider it necessary to protect the health of other guests and/or staff. You should inform us immediately should any condition develop within four weeks of your arrival date or during your stay with us.
  9. No medical facilities are available at Sandburn Hall.
  10.  We may ask you and/or members of your party to leave immediately if your conduct is considered by us to infringe our rules or is likely in our belief to impair the enjoyment or comfort or safety of other guests and/or staff.
    No refunds will be given in these circumstances.
    We also have the right to recover from you the cost resulting from any damage to our property or that of our other guests together with any compensation we may pay to other guests as a result of the actions of you or any members of your party.
  11.  We are continually striving to improve accommodation and facilities at Sandburn Hall and to comply with any new Health & Safety legislation or other legal requirements.  Therefore, you may find that some facilities are temporarily closed for maintenance/ improvement or facilities may have been altered or there is development/ refurbishment work going on in certain areas of Sandburn Hall.  In all circumstances we will try to minimise any inconvenience.
  12.  We reserve the right to enter your room at any time for any reasonable purpose for example to make checks or carry out essential inspection maintenance works or repairs.
  13.  All cars and other vehicles you bring to Sandburn Hall Hotel must be parked in the parking spaces and are entirely at your risk. We do not accept any liability for damage to vehicles.
  14.  Your personal belongings are your own responsibility during your stay with us. This responsibility applies to all members of your party and their belongings.
  15.  We accept no liability whatsoever for any accident, loss or damage to your property.
  16.  Please note that we are not responsible for any matter which you did not bring to our attention during your stay. Any reported matter which has not been resolved during your stay should be advised in writing to the manager of Sandburn Hall Hotel within 28 days of check out.
  17.  In all cases except personal injury or death our liability to you for the total of all claims arising out of your stay with us is limited to the cost of your booking.
  18.  We may need to cancel your booking due to circumstances outside of our control.  In this instance and liability is limited to the cost of your booking.
  19.  Should any part of our agreement be deemed by rule of law to be void the remainder of this Agreement will if capable continue in full force and effect.
  20.  You must use your room or rooms and its or their contents with care.  You are responsible for all damage caused to them. We reserve the right to charge you for any loss or damage to our property both during and after your stay.
  21.  All rates are quoted per room, per night and are inclusive of VAT.  All prices are subject to availability and can be withdrawn or varied without notice.  The price is only guaranteed when payment is made, and a booking confirmation sent.
  22.  All relevant prices include VAT at the current rate at the time of payment. We reserve the right to increase or decrease prices in line with any change in VAT or any other duties or fees levied on your stay.
  23.  The maximum occupancy per room is 2 Adults in all room types, apart from the family rooms.
    In the Family rooms the maximum occupancy is 2 Adults and 2 children under the age of 12 years.
  24.  Well behaved dogs are welcome to stay at Sandburn Hall Hotel in specified rooms.  Please contact us direct to book a stay with your dog.  Unfortunately, other pets are not permitted.
  25.  Smoking is not permitted by law inside any part of the hotel building or bedrooms or at the front entrance of the hotel.
  26.  Any data collected during the course of this booking will be stored on our computer software.  We may from time to time contact you about promotions and offers relevant to you.  We will not share your details with any third party.  If providing an email address, you will receive relevant marketing communications, from Sandburn Hall Hotel until such time as you opt out.
  27.  Confirmation Payment:
    1. To book a ‘Flexi’ Room only or Bed & Breafast rate a card guarantee is required to secure your booking.
    2. To book an ‘Advance’ Bed & Breakfast rate, full payment is required at the time of booking.
    3. We accept all major credit cards except Amex.
    4. Payment of extras must be settled on departure.
  28.  Cancellation Policy:
    1. If you would like to cancel your booking please contact us directly by telephone.
    2. For bookings made on the ‘Flexi’ rates, amendments and cancellations are free of charge up to 48 hours prior to your check in time of 3pm.
    3. Cancellations less than 24 hours prior to check in at 3pm will be charged 100% of your first night stay.
    4. No shows will be charged 100% of your first night stay.
    5. Any refunded amounts will be processed on your reservation date after 3pm and against the credit card/ debit card used to book.
    6. All bookings are transferable prior to 48 hours before check-in and can be transferred within a 12-month period.
  29.  Advance Purchase/ Special Rate Bookings
    1. Advance purchase/ special rate bookings are a discounted rate.
    2. Full payment is taken at the time of booking to receive the discount.  For these rates, no cancellation refunds will be given.  The booking is non-refundable or transferable.
  30.  Group Bookings
    1. Room reservations for more than 4 rooms is classified as a group booking.
    2. We require the personal details of each room resident at the time of booking.
    3. Please contact the team directly to make a group booking on 01904 469922.  It is not possible to make a group booking on the website.
  31.  Booking Amendments
    1. Any booking amendments are subject to availability and not guaranteed.
  32.  Arrival and Departure
    1. Prior to arrival guests are requested to complete the check in information.
    2. Please inform us in advance if your expected arrival time is after 11pm.
    3. Check in time is 3pm.  Early check in is available from 1pm to book on a first come basis, the charge is £40.00.
    4. Check out time is 11am.  Late check out is available to book until 1pm on a first come basis, the charge is £40.00.
    5. Please ensure you have vacated your room and checked out by 11am to prevent the late check out being automatically charged.
    6. If you are attending an event you can check in to the hotel and leave your luggage in reception prior to 3pm.  We will then transfer luggage to your room once it becomes available.
  33.  Sandburn Hall Hotel facilities and Breakfast
    1. Breakfast is served in Tykes Restaurant, a short outdoor walk from reception, from 7am until 10.30am
    2. Tykes Restaurant is open daily from 12noon.
    3. Child’s breakfast – for children under 12 years of age
