1.1 These Terms & Conditions govern all bookings and stays at Sandburn Hall (“the Hotel”, “we”, “us”, “our”). By making a booking, the person making the booking (“Lead Guest”) confirms that they have read, understood, and accepted these Terms & Conditions on behalf of all members of their party staying and including visitors.
1.2 The Sandburn Hall Estate, (“the Estate”) includes the golf course, lakes, open fields and farm land on the estate, and Griffon Forest holiday park.
1.3 This Agreement binds you and all the members of your party. It is your responsibility to ensure that each member of your party is aware of and accepts the whole of this Agreement and the obligations contained in it. It is effective from the date this agreement is made.
1.4 This Agreement is made between us when your booking is confirmed.
1.5 You must note and comply with all guidance rules and other requirements supplied on notices, in any booklet or other literature supplied to you when booking or taking part in additional activities.
1.6 These Terms & Conditions, together with your booking confirmation and any additional relevant policies issued, form the entire agreement between you and Sandburn Hall.
1.7 This Agreement remains in force from booking until all members of the party have departed the Park.
1.8 This Agreement is governed by English law and we both agree to the non-exclusive jurisdiction of the English Courts.
1.9 We have the right at our sole discretion to refuse any booking including a group booking and to obtain the name and age of all members of your party at any time.
1.10 We have the right to cancel your booking without compensation or refund should you not comply with any of the provisions of this Agreement.
1.11 You may not resell, advertise, transfer, sublet, or use your booking for commercial gain without our written consent.
1.12 Should any part of our agreement be deemed by rule of law to be void the remainder of this Agreement will if capable continue in full force and effect.
2.1 We will not accept reservations and have the right to cancel your booking when the majority of members of your party are under the age of 18 years unless by prior arrangement.
2.2 Children must be accompanied by an adult at all times in the hotel rooms and reception areas.
2.3 We reserve the right to refuse, cancel, or immediately terminate any booking without refund where we reasonably believe that any guest or visitor:
2.4 We may request identification or additional information where reasonably necessary for safeguarding, security, or operational purposes.
2.5 Failure to provide requested information, or providing false or misleading information, may result in refusal of entry or immediate termination without compensation or refund.
3.1 Please inform us in advance if you have any significant mobility requirements or accessibility needs so that we can ensure your room booking is suitable for your requirements.
3.2 Guests are encouraged to discuss individual requirements with us before booking.
3.3 A defibrillator is located on the wall on the side of the golf/events entrance hall.
3.4 If you or any member of your party has or has just had an infectious or contagious medical condition we have the right to refuse or accept your booking, cancel your stay or ask you or any member of your party to leave Sandburn Hall immediately should we at our sole discretion consider it necessary to protect the health of other guests and/or staff.
3.5 No medical facilities are available at Sandburn Hall.
4.1 We may ask you and/or members of your party to leave immediately if your conduct is considered by us to infringe our rules or is likely in our belief to impair the enjoyment or comfort or safety of other guests and/or staff.
4.2 No refunds will be given in these circumstances.
4.3 Noise, nuisance, antisocial behaviour, illegal activity, or conduct affecting others’ enjoyment is strictly prohibited.
4.4 Sandburn Hall reserves the right to require guests to leave immediately where behaviour is considered unacceptable. No refund or compensation will be payable in these circumstances.
4.5 Smoking or vaping is not permitted by law inside any part of the hotel building or bedrooms or at the front entrance of the hotel.
4.6 Evidence of smoking or vaping indoors may result in additional cleaning, deodorising, maintenance, or loss-of-income charges.
4.7 The flying of drones is not permitted on site.
4.8 Commercial photography or filming on site for business use requires prior consent.
4.9 Guests, where necessary, will be made aware of any commercial activity instructed by Sandburn Hall during the checked in period.
4.10 Items such as fire pits, campfires, Chinese lanterns, fireworks or any open flame heat source, are not to be used across any part of the Estate.
4.11 Tampering with fire alarms, smoke detectors, carbon monoxide detectors, or emergency equipment is strictly prohibited and may result in immediate removal from site.
4.12 Firearms, shotguns, air weapons, fireworks, explosives, illegal substances, and offensive weapons are prohibited at Sandburn Hall.
5.1 Photography, video recording and social media content may be created by guests, visitors, event attendees, wedding parties, suppliers and other third parties whilst on the Estate.
5.2 Sandburn Hall has no control over and accepts no responsibility or liability for any photographs, video recordings, live streams, social media posts, online content or other publications created, shared or distributed by third parties, whether during or after a guest’s stay or visit.
5.3 Guests acknowledge that they may appear incidentally or unintentionally in photographs, video recordings, live streams or other content captured by third parties whilst on the Estate.
5.4 Sandburn Hall shall not be liable for the creation, publication, sharing, distribution or subsequent use of such content on social media platforms, websites, news media or any other public or private platform.
5.5 Wedding ceremonies, receptions, conferences, golf events and other organised events may be photographed, filmed or recorded by the event organiser, attendees, suppliers, media representatives or other third parties. Sandburn Hall accepts no responsibility or liability for any use, publication or distribution of such content.
5.6 From time to time Sandburn Hall may commission or undertake photography, filming or promotional content on the Estate.
5.7 Guests, where necessary, will be made aware of any commercial activity instructed by Sandburn Hall during the checked in period.
5.8 By entering public areas of the Estate, guests acknowledge that they may appear incidentally in such photography, filming or promotional content.
5.9 Any personal data collected in connection with such photography or filming will be processed in accordance with our Privacy Policy.
5.10 Guests who do not wish to appear in Sandburn Hall commissioned photography or filming should notify a member of staff at the earliest opportunity and we will use reasonable endeavours to accommodate such requests where reasonably practicable.
6. Accommodation & Facilities
6.1 Certain facilities or areas may occasionally be unavailable due to maintenance, refurbishment, weather conditions, or operational requirements.
6.2 We will make reasonable efforts to minimise disruption and noise during maintenance works, wherever possible.
6.3 We are continually striving to improve accommodation and facilities at Sandburn Hall and to comply with any new Health & Safety legislation or other legal requirements.
6.4 Therefore, you may find that some facilities are temporarily closed for maintenance/improvement or facilities may have been altered or there is development/refurbishment work going on in certain areas of Sandburn Hall.
6.5 In all circumstances we will try to minimise any inconvenience.
6.6 The maximum occupancy per room is 2 Adults in all room types, apart from the family rooms.
6.7 In the Family rooms the maximum occupancy is 2 Adults and 2 children (1 under 17 and 1 under 12 years).
6.8 The maximum occupancy must not be exceeded.
6.9 We reserve the right to enter rooms at reasonable times, or at any time in an emergency, for inspection, maintenance, repairs, servicing, safety checks or other reasonable purposes.
7.1 Well behaved dogs are welcome to stay at Sandburn Hall Hotel in specified rooms. Please contact us direct to book a stay with your dog.
7.2 Dogs must be up to date with vaccinations, flea treatment, and worming. Proof may be requested where necessary.
7.3 Dogs listed under the Dangerous Dogs Act, including XL Bully dogs, are not permitted.
7.4 Dogs must not cause excessive barking, aggression, distress of nuisance to other guests, staff or wildlife. We reserve the right to request removal of any dog deemed unsuitable for the Estate environment.
7.5 Guests must ensure their dogs do not disturb, chase, or harm wildlife. Guests are required to follow the Countryside Code, and keep dogs under control, on a lead near livestock or wild animals.
7.6 Dogs must be supervised and kept on a lead under control, when walking near Sandburn Hall grounds and lakes and within any shared areas on the Estate including Griffon Forest lodges.
7.7 Sandburn Hall Estate is in a rural setting including farmland. Please be aware of hazards to your dog, which may include poisonous plants and fungi, agricultural activities, unguarded ditches and grazing livestock. Please practice correct dog care in this environment, such as checking for ticks and be aware of any seasonal canine illness that may naturally occur in the UK.
7.8 Sandburn Hall accepts no responsibility for illness or injury to your dog. By bringing your dog to Sandburn Hall you accept full responsibility for its behaviour and welfare.
7.9 Unfortunately, other pets are not permitted.
7.10 Please review and agree to the relevant dog policy related to your visit in advance.
8.1 All cars and other vehicles you bring to Sandburn Hall Hotel must be parked in the parking spaces and are entirely at your risk.
8.2 Sandburn Hall does not accept any liability for loss or damage to vehicles or their contents.
8.3 Motorhomes are not permitted to park overnight on site.
8.4 Electric vehicles may only be charged using the designated charging points.
8.5 Cyclists must keep to prepared roads and tracks and must always give way to pedestrians.
8.6 E-bikes and E-scooters are not permitted for use throughout the Estate unless specifically authorised.
9.1 Standard Wi-Fi and internet services are provided subject to availability and fair usage.
9.2 Due to the rural location and external service providers, uninterrupted internet access, speed, signal strength, or compatibility cannot be guaranteed.
9.3 Guests must not use internet services for unlawful, offensive, abusive, or commercial purposes.
9.4 A premium speed Wi-Fi is available; vouchers are purchased from reception.
10.1 All prices are subject to availability and can be withdrawn or varied without notice.
10.2 The price is only guaranteed when payment is made, and a booking confirmation sent.
10.3 We reserve the right to increase or decrease prices in line with any change in VAT or any other duties or fees levied on your stay.
10.4 Prices are confirmed at the time of booking and include VAT at the applicable rate.
10.5 We reserve the right to adjust prices any time prior to check in, where an obvious pricing error has been made, or VAT, taxes, or government levies change.
10.6 To book a flexible cancellation rate booking, a card guarantee is required to secure your booking.
10.7 To book an ‘Advance’ Bed & Breakfast rate, full payment is required at the time of booking.
10.8 We accept all major credit cards.
10.9 Payment of extras must be settled on departure.
11.1 If you would like to cancel your booking please email stay@sandburnhall.co.uk as soon as possible.
11.2 For bookings made on flexible rates, amendments and cancellations are free of charge up to 48 hours prior to your check in time of 3pm.
11.3 Cancellations less than 48 hours prior to check in at 3pm will be charged 100% of your first night stay.
11.4 No shows will be charged 100% of your first night stay.
11.5 Any refunded amounts will be processed on your reservation date after 3pm and against the credit card/debit card used to book.
11.6 All bookings are transferable prior to 48 hours before check-in and can be transferred within a 12-month period.
12.1 Advance purchase/special rate bookings are a discounted rate. Full payment is taken at the time of booking to receive the discount.
12.2 For these rates, no cancellation refunds will be given.
12.3 The booking is non-refundable or transferable.
13.1 Room reservations for more than 6 rooms are classified as a group booking.
13.2 A deposit will be required to secure a group booking and separate group booking terms and conditions will apply.
13.3 We require the personal details of each room resident at the time of booking.

14.1 Any booking amendments are subject to availability and not guaranteed.
15.1 Prior to arrival guests are requested to complete the check in information.
15.2 Please inform us in advance if your expected arrival time is after 11pm.
15.3 Check in time is 3pm.
15.4 Early check in is available from 1pm to book on a first come basis, the charge is £40.00.
15.5 Check out time is 11am.
15.6 Late check out is available to book until 1pm on a first come basis, the charge is £40.00.
15.7 Please ensure you have vacated your room and checked out by 11am to prevent the late check out being automatically charged.
15.8 If you are attending an event you can check in to the hotel and leave your luggage in reception prior to 3pm. We will then transfer luggage to your room once it becomes available.
16.1 Breakfast is served in Tykes Restaurant, a short outdoor walk from reception, from 7.00am until 10.15am approx. Please see website for current opening times as these may vary.
16.2 Child’s breakfast – for children under 12 years of age.
17.1 We have the right to recover from you the cost resulting from any damage to our property or that of our other guests, together with any compensation we may pay to other guests as a result of the actions of you or any members of your party.
17.2 You must use your room or rooms and its or their contents with care. You are responsible for all damage caused to them.
17.3 Your personal belongings are your own responsibility during your stay with us.
17.4 This responsibility applies to all members of your party and their belongings.
17.5 We accept no liability whatsoever for any accident, loss or damage to your property.
17.6 Sandburn Hall shall not be liable for:
17.7 Lost guest property is kept at Sandburn Hall for a maximum of 28 days.
17.8 Lost property is not automatically returned to Guests. Contact reception to organise and discuss the returns process.
17.9 A postage and packaging charge will be applied.
17.10 Nothing within these Terms & Conditions excludes or limits liability for personal injury caused by negligence, fraud, or any liability which cannot legally be excluded under English Law.
17.11 Subject to Clause 17.11, our total liability arising from your stay shall not exceed the total amount paid for your booking.
18.1 Sandburn Hall shall not be liable for any failure or delay in performing its obligations where such failure or delay arises from circumstances beyond our reasonable control.
18.2 Such circumstances include but are not limited to:
18.3 In these circumstances we reserve the right to amend, relocate, postpone, or cancel bookings, where reasonably necessary.
18.4 In this instance liability is limited to the cost of your booking and no refunds or compensation will be issued.
19.1 If you experience a problem during your stay, we request that you notify us prior to departure, to allow us the opportunity to resolve the issue.
19.2 Any unresolved complaint should be submitted in writing by email within 28 days of departure.
19.3 We will respond to any written complaint within 7 working days.
20. Privacy & Data Protection
20.1 If providing an email address, you will receive relevant marketing communications from Sandburn Hall Hotel until such time as you opt out.
20.2 Sandburn Hall processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
20.3 Personal information may be used for:

21.1 Sandburn Hall reserves the right to amend these Terms & Conditions, where reasonably necessary.
21.2 The version applicable to your booking will be the version in force at the time your reservation is confirmed.
